Communication & Professional Boundaries Policy

 

At Lexis School of English, we are committed to maintaining high academic standards, safeguarding our students, and protecting the professional boundaries of our teaching and administrative staff.

This policy applies to all students without exception.

Our policies are designed to ensure fairness, safeguarding, and a positive learning environment for all.

1. Official Communication Channels

Students and family members are not permitted to contact teachers directly via:

  • WhatsApp or other messaging apps
  • Personal email
  • Social media platforms
  • Personal phone numbers
  • Any other private communication channel

All communication regarding lessons, timetables, progress, absences, academic concerns, or private tuition must be directed through the school administration.

This ensures safeguarding, professionalism, and consistent information for all students.

2. Changes to Timetable or Lesson Structure

From time to time, the school may adjust the structure of the academic day to include:

  • Cultural visits
  • Historical learning experiences
  • Certificate ceremonies
  • Enrichment activities

These decisions are made at the discretion of the school and form an essential part of our teaching programme. Language learning is inseparable from cultural understanding, particularly for students intending to live in the UK.

Where timetable adjustments affect locally based students, replacement sessions may be provided to ensure no student is academically disadvantaged.

3. Private Tuition and Direct Requests to Teachers

Students and family members are not permitted to contact teachers directly regarding:

  • Private lessons or additional tuition
  • Extra academic support
  • Schedule changes
  • Fees or payment arrangements

All such requests must be made through the school administration. Teachers are not authorised to enter into private arrangements with enrolled students outside the school framework.

4. Respect for Professional Boundaries

Students and family members must respect:

  • Teachers’ non-working hours
  • Institutional communication procedures
  • The school’s academic and curricular decisions

These boundaries are in place to ensure fairness, safeguarding, and a positive learning environment for all.

5. Accommodation Arrangements

Students are not permitted to discuss directly with homestay hosts:

  • Accommodation fees
  • Duration of stay
  • Requests to stay an extra night
  • Any changes to living arrangements

All accommodation-related matters must be communicated through the school administration.

This ensures consistency, prevents misunderstandings, and protects both students and hosts.

6. Administrative Communication

Students are responsible for keeping the school informed about all matters relating to their course and any other services provided.

Students must immediately inform the school of any changes to:

  • Name
  • Addresses in the UK and home country
  • Telephone numbers
  • Email addresses
  • Emergency contacts in the UK and home country

All communication with the school should be conducted via email at info@lexislondon.com.

Students are not permitted to contact teachers directly regarding administrative matters, lessons, accommodation, fees, or course changes.

Students must provide a minimum of two weeks’ written notice for requests including:

  • Changing levels
  • Postponing course start dates
  • Extending the course
  • Any other administrative changes

All requests are subject to availability and must be approved by the school.
